Chairlink is a professional networking and mentorship platform for dentists. This Privacy Policy applies to all users of the Service and governs information handling related to verification, networking, communications, and paid interactions.

We collect information you choose to provide, including your name, email address, account credentials, professional and license information, profile content, communications with Chairlink, and any other information you voluntarily submit through the Service.

3. Verification Information

To maintain a dentist-only platform and protect users, Chairlink may collect limited verification materials such as selfies, images of dental licenses, screenshots of public license lookup pages, or messages sent via email or social media for identity confirmation. Verification materials are used solely to confirm identity and eligibility.

4. Session Data, Transcripts, and Logs

When enabled and with notice, Chairlink may generate and retain session metadata (such as dates, duration, and participants), platform logs, and automated transcripts or summaries.

4.1 Purpose and Use

Session transcripts and related data are retained for legitimate platform purposes, including trust and safety monitoring, investigation of reports or disputes, fraud prevention, compliance, and improving the Service. Chairlink may also use such data to support optional in-platform productivity features (such as summaries, outlines, or draft follow-ups) and to develop and improve these features over time. Any such features will be provided with notice and subject to available settings or opt-out controls where required.

4.2 No Sale or Unauthorized Sharing

Chairlink does not sell session transcripts or related content. Such data remains within the Chairlink platform and is not shared with third parties without user consent, except as required by law or with service providers acting on Chairlink's behalf under confidentiality obligations.

4.3 Not Clinical Records

Session transcripts and summaries are provided for convenience only and do not constitute dental advice, medical records, or clinical documentation.

5. Cookies and Analytics

Chairlink may use cookies and similar technologies to operate the Service, analyze usage patterns, monitor performance, and improve functionality. You may control cookies through your browser settings, though disabling cookies may limit certain features.

6. Payments

Payments made through the Service are processed by third-party payment processors. Chairlink does not store full payment card numbers or sensitive financial information. Payment processors handle such information in accordance with their own privacy policies.

7. How Information Is Used

Information is used to operate and improve the Service, verify credentials, enable networking and mentorship, process payments, prevent fraud, communicate with users, and enforce platform rules and agreements.

8. How Information Is Shared

Information may be shared with service providers, to comply with legal obligations, to protect the rights and safety of Chairlink and users, or in connection with a business transaction. Chairlink does not sell personal information.

9. Information We Do Not Collect

Chairlink does not intentionally collect patient identifying information or protected health information. Users are prohibited from uploading patient information to the Service.

Account and profile information is retained while your account is active. Verification materials are deleted after verification is completed or rejected, unless retention is reasonably necessary for fraud prevention, dispute resolution, compliance, or enforcement of agreements.

Chairlink uses reasonable administrative, technical, and organizational safeguards designed to protect information. However, no security measures are perfect, and absolute security cannot be guaranteed.

Chairlink may retain information as necessary for legal, safety, compliance, or legitimate business purposes and does not guarantee all requests can be fulfilled.

Chairlink may send transactional or service-related communications related to your account, verification, bookings, or platform updates. You may opt out of non-essential communications where available.

Information may be disclosed if required by law, regulation, legal process, or lawful request, or to protect the rights, property, or safety of Chairlink, users, or others.

15. Business Transfers

The Service is intended for professionals and is not directed to individuals under the age of 18.
